FreedomSoft provides three core tools—Lists, Campaigns, and Workspaces—that work together to organize prospects, capture inbound leads, and manage your team. Understanding the differences between them is key to keeping your account clean, efficient, and scalable.
Lists: Where Prospects Live
Lists store prospects—people you intend to market to.
-
Example: If you use the Lead Finder tool to build a list of 1,000 vacant properties in Denver, you’ll have 1,000 prospects stored in a List.
Campaigns: Where Leads Are Captured
Campaigns capture inbound leads generated from your marketing.
-
-
Example: If you send postcards to those 1,000 vacant property owners and one calls you back, that inbound response becomes a Lead captured in a Campaign.
-
FreedomSoft phone numbers used to capture inbound calls or texts should always be linked to a Campaign. (Learn how to set up phone numbers HERE).
-
Workspaces: For Team Management
Workspaces separate and organize access for different team members.
-
-
-
Example: If you have three acquisitions team members, create a Workspace for each with permissions so they can only see their own records. A leads manager with higher-level access can move records in or out of Workspaces as needed.
-
Workspaces scale well—even teams of 60+ members have successfully managed leads inside a single FreedomSoft account.
-
-
Importing & Distributing Records
-
When importing seller or buyer records from another CRM, they are always added to a List first.
-
Records can then be distributed to a Workspace.
-
Records cannot be placed directly into a Campaign—Campaigns only contain inbound leads generated by marketing. This keeps the Leads Inbox accurate and trustworthy. (Learn more about the Leads Inbox HERE).
Conclusion:
Lists store prospects, Campaigns capture inbound leads, and Workspaces manage team access. Together, they form the backbone of lead management in FreedomSoft, ensuring your system stays organized and efficient.
