A FreedomSoft workflow can add a tag to a record or remove one whenever a record reaches a status you choose. The tag action can happen immediately or after a delay you set.
Add the Tag Action
- Go to
Settings > Workflow Automationand open the workflow you want to edit. -
Find the status block where the action belongs under the
When Status Is...heading. -
Click the blue
+to add an action, then chooseAdd TagorRemove Tag. - Click the
Tag Namebox. Your account’s tags are listed. Type to narrow the list, or type a new name to create one. - Leave the action set to
Add Immediately, or setDelay this action byto the desired number of days. -
Click
Add Action.
When the Tag Action Runs
- The action runs when a record’s status changes into the status block that contains the action.
- An immediate action applies as the status changes.
- A delayed action is scheduled and applies on the day you set.
- Adding a tag a record already has or removing a tag it does not have does not make a change.
A Useful Tagging Pattern
Place Add Tag on the status where something becomes true and Remove Tag on the status where it stops being true.
This allows the tag to reflect the record’s current status and helps keep tag filters accurate.
Good to Know
- Workflow tagging is recorded like other tagging activity, so it appears in KPI reports. CLICK HERE to learn more about Tags in KPI reports in FreedomSoft.
- A delayed action remains on the record until it runs. Editing the workflow afterward does not change actions that are already scheduled.
