Settings > Tags lists every tag on your FreedomSoft account, shows how many records carry each tag, and allows account managers to add, rename, and delete tags.
View the Tag List
- Tags are listed A–Z, with 50 tags displayed per page.
- Click the
TagorRecordsheading to sort the list. Click the same heading again to reverse the sort order. You can sort by Records to find tags that are not being used. - Hover over the number in the Records column to see a breakdown by record type. Each line is a link that opens that screen filtered to the tag.
Add a Tag
Type the tag name in the box at the top and click Add Tag.
This can be useful when you want to set up a tag vocabulary before anyone starts tagging records.
If the tag name is already in use, FreedomSoft will not create a duplicate tag that differs only by capitalization.
Rename a Tag
- Click
Renameon the tag’s row. - Edit the name and click the green check or press
Enter.
Click the red X to cancel.
Renaming updates the tag everywhere at once. Every record keeps the tag, saved filters continue to work, and nothing needs to be tagged again.
Delete a Tag
- Click
Deleteon the tag’s row. - Confirm when prompted.
Deleting a tag removes it from every record that carries it and cannot be undone.
If you only want to remove the tag from a few records, use the Remove Tag bulk action instead.
Each removal is recorded, so a Tag Removed report will show the day the tag was deleted. If the tag is used on thousands of records, the cleanup finishes in the background shortly afterward.
Good to Know
- Renaming and deleting tags are manager-only actions. Everyone else can still tag records.
- The Records count includes records in the Trash because those records keep their tags until they are permanently deleted.
