Mail Sequences are the backbone of the Direct Mail system. They allow you to automate follow-up by sending postcards or letters on the schedule you choose, keeping your marketing consistent without extra effort. A mail sequence is a series of one or more mailers that uses automation to send mail at the time delay of your choice.
Types of Mail Sequences
Single-Step Sequence

Sends one piece of mail on a time delay of your choice.

Can be set to automatically repeat.

Example: A single-step sequence with a “We Buy Houses” postcard and a 0-day delay sends that postcard immediately whenever a record is added to the sequence.
Multi-Step Sequence

Incorporates more than one step to send multiple mailers over time.

Can be set to automatically repeat.

Example: Target absentee owners with a 5-step “Tired Landlord” sequence (days 0, 30, 60, 90, 120). Each mailer speaks to the motivations of a tired landlord.

How to Edit a Direct Mail Sequence

Hover over your name at the top of any screen and select Settings.

In the left-hand menu, click Mail Sequences.

On this page, you’ll see default mail sequences.

Click the pencil icon to edit.

Click the duplicate icon to make a copy.

How to Add a New Direct Mail Sequence
- In Mail Sequences under Settings, click New Mail Sequence.

Name the sequence (e.g., 3 Step Vacant House Sequence – Denver).

Select the target audience (Sellers, Buyers, or Contacts).

Add an optional description to stay organized.

Choose whether the sequence repeats. If yes, set how many days before it restarts.

Click Add New Step to build the sequence.

Template: Select which direct mail template will be used.

Lead Capture: Choose a FreedomSoft Campaign (recommended) or a non-FreedomSoft phone number. If you use a campaign, its linked phone number auto-populates.

Return Information: Fill this in (required by USPS).

Delay: Set how many days after the previous step this mailer should send (0 days = immediate).

Overwrite Other Steps: For multi-step sequences, this copies attributes (like return info and lead capture) to all steps. Delay settings must still be adjusted individually.

Click the blue Save button to finish.
