How to Find Records by Tag in FreedomSoft

There are three ways to use tags on a FreedomSoft search screen: perform a quick search, use a more precise filter, or add a Tags column so you can see the tags associated with each record.

Quick Search for One Tag

  1. On a search screen, open the dropdown to the left of the search box and choose Tags.
  2. Click the search box. Your account’s tags are listed. Type to narrow the list.
  3. Click the tag you want, then click the magnifying glass to search.

This searches the entire tag name and finds records carrying that exact tag.

Filter by Tags a Record Has or Does Not Have

The advanced filter lets you search based on both tags a record has and tags it does not have.

  1. Click Apply Filters to open the advanced filters.
  2. Choose Tags from the filter list.
  3. The filter displays two rows joined by AND: Has Tag on top and Does Not Have Tag underneath.
  4. Select one or more tags on either row. Leave a row empty to ignore it.
  5. Click Search.

Tag Filter Examples

To find everything tagged Absentee:

Has Tag: Absentee

Leave the second row empty.

To find Absentee leads you have not mailed:

Has Tag: Absentee AND Does Not Have Tag: Mailed

To find records tagged Absentee or Probate:

Select Absentee and Probate on the same Has Tag row. Several tags on one row means any of them.

To find records carrying both tags:

Change the second row’s operator to Has Tag, then select the other tag.

Both rows offer both operators, so you can also search for two tags a record must have or two tags it must not have.

Show Tags as a Column

  1. Open the column settings on the search screen by clicking the gear on the right side of the column headers.
  2. Add the Tags column and save.

Each row then lists that record’s tags as plain text separated by commas. The Tags column can be moved like any other column.

Good to Know

Records in the Trash keep their tags, so a tag’s count can include records that are no longer visible on the main screen.
