Team Chat has two types of users: Chat Managers, who have full control over Channels and shared conversations, and regular team members, who can chat, message, and manage their own conversations. Understanding who can see what — especially for Record Chats — helps keep sensitive deal conversations in the right hands.
Chat Managers
A team member becomes a Chat Manager in one of two ways:
- They are a full account manager — account managers are automatically Chat Managers.
- They have been granted the Chat Manager permission by an account manager.
Chat Managers can:
- Create, rename, and manage Channels (add or remove members).
- Archive Channels and Record Chats for everyone.
- Delete Channels permanently.
Regular Team Members
Everyone else on your team can:
- Send and receive messages in Team Chat.
- Start and use Direct Messages with any teammate.
- Start and participate in Record Chats for records they have access to.
- Archive their own Direct Messages (this only affects their own sidebar).
Who Can See a Record Chat
Access to a Record Chat follows the same rules as access to the record itself in FreedomSoft:
- If a team member can see a Seller Lead, Buyer Lead, Property, Buyer, or Contact record, they can see that record's chat.
- Contact record visibility follows your account's Contacts access settings.
- Chat Managers can see all Record Chats across the account.
Note: Mentioning someone in a conversation does not give them access to it. If a team member doesn't have access to a record, they won't appear in the @mention list for that Record Chat — and typing their name won't pull them in. Access must be granted through FreedomSoft's record permissions.
Good to Know
- If you're unsure whether a team member is a Chat Manager, an account manager can check and update permissions in account settings.
- New members added to a Channel can see messages sent before they joined.
