Inside FreedomSoft’s Workflow Automation tool, you’ll find a pre-built workflow called Rob’s Seller Lead Workflow. These statuses are based on Rob’s 15+ years of real estate investing experience and are designed to keep your leads organized while maximizing follow-up.
Organization and follow-up are key for all real estate investors. In fact, Rob has tracked his closings for over 20 years, and roughly 66% of the deals he has closed came from consistent follow-up.
Below are the statuses included in his workflow and how they are commonly used:
New – Default status for all newly created records and leads.
Research In Process – An automated or manual skip trace is in progress. [Learn more about FreedomSoft’s internal skip tracing HERE.]
Research Complete – The skip trace is complete, and the record/lead is ready for marketing.
Advanced Research Required – The record couldn’t be reached with initial skip trace data, requiring deeper research (Google, social media, etc.).
Advanced Research Complete – The additional research has been completed and the lead is ready to contact again.
Contact Attempt 1 / 2 / 3 – Used to mark the first, second, and third contact attempts (phone or direct mail).
Cold Follow-Up – After 3 attempts without contact, the lead is moved here. Automated messages are tied to this status to help make initial contact.
Warm Follow-Up – For leads you’ve reached, but they’re not yet ready to sell. Automated messages keep you in front of them until they are ready.
DO NOT CALL – Marks the record as Do Not Call. All phone numbers tied to the record are flagged in your internal DNC list.
ALL BAD NUMBERS – Indicates all skip-traced numbers are invalid.
Active Lead – The lead is engaged in active conversation, but no offer has been made yet.
Appointment Scheduled – A meeting with the seller has been scheduled. Tasks and reminders can also be set here.
Contract Sent – A contract has been sent to the seller, awaiting signature.
UNDER CONTRACT – The contract is signed. At this point, FreedomSoft will prompt you to move the record into the Properties tab for live deal tracking.
Property Inspection – The inspection is in progress or while you are awaiting the inspection to be done.
Renegotiate Contract – Used if the inspection results require renegotiating terms.
Open Escrow – Escrow is ready to be opened with your title company or attorney.
Advertise - Sell – Indicates the deal is ready to be marketed to buyers.
SOLD - Waiting To Close – The end buyer has been identified, contract signed, and earnest money received.
CLOSED – The deal is officially closed when funds are received. Saving this status also triggers FreedomSoft’s financial reporting in Campaign tracking stats.
The Financials section can be found on the Lead Details page for each seller lead in your account.
The campaign stats can be seen by clicking into any of your campaigns from the My Campaigns page in the Leads tab.
Under Construction– Used for fix-and-flip projects while renovations are in progress. (Note: If you are wholesaling you won’t be using this status.)
Rehab Complete – Renovations are done, and the property is ready to sell.
DEAD – Used for leads that are no longer viable (property sold, seller uninterested, etc.).
By following this structured workflow, you can ensure every lead is properly tracked, followed up on, and moved through the right stages.
