Whether your team has 2 people or 20+, FreedomSoft makes it easy to manage and distribute leads to the right team members. By combining Workspaces, user permissions, and Workflow Automation, you can keep everything streamlined and organized.
Step 1: Create a Workspace
Create a new Workspace for each team member, naming it clearly (e.g., WORKSPACE: John Doe).

Step 2: Invite the Team Member
Invite the team member into your FreedomSoft account and give them access only to their Workspace.

Step 3: Set Up Workflow Automation for Distribution
- Go to Settings and click Workflow Automation.
- Click the edit icon for the Workflow where you want to add a new status.
- Scroll down and click Add Status Set.
- Click Add Custom Status.
- Name the status: Distribute to (Team Member Name) Workspace and then click the blue + icon.
- Select Distribute To Workspace as the action item.
- Choose the team member’s Workspace from the dropdown and click Add Action.
- Click Update Workflow to save.
Moving Records into Workspaces
Once the custom status is created, distributing leads is simple:
- Select records from any List or Campaign.
- Click More Actions > Update Status.

Choose the appropriate “Distribute to [Name] Workspace” status.

Click Update Status and the records will automatically move to the correct Workspace.
Scaling for Larger Teams
If you have multiple team members, repeat the process for each one. This system works for both small teams and larger ones—FreedomSoft customers have successfully managed teams of 60+ people using this method.
